Lists work the same way across the Dashboard. Open a row, move through pages, or select several rows and run one action on all of them.

Move through a list

Click a row to open it. Right-click a row for Open in new tab or Copy ID. On lists with Previous and Next, the arrow keys do the same job. They do nothing while you are typing.

Split view

On Owner payouts, the payout you highlight opens beside the list. Up and Down move through payouts without opening each one. The current row has a bar along its left edge. Enquiries and Issues can show that layout, a full table, or a board. Switch with the view icons next to the page title.
On a small screen the side panel is hidden. Tapping a row opens the record.

Narrow the list

  • Use the status tabs, such as Draft or Past due on Invoices. All shows every status.
  • Filter narrows by customer, date, amount, or another field. Clear removes every filter.
  • Click a column heading to sort, where the heading is clickable. Click it again to reverse the order.
  • Display shows or hides columns. Export downloads the filtered list as a CSV. See Exporting data.
Switch to the status you want to act on before you select rows. Draft for invoices to finalise, Past due for reminders. A mixed selection hides the actions.

Select rows

Tick the rows you want. A bar appears along the bottom of the screen.
  1. Tick a row, or the checkbox in the header, to select every row on this page that can take an action.
  2. Open the next page and tick more rows. Rows you already selected stay selected.
  3. With at least one row selected, press A or click Select all to add every eligible row on the current page.
  4. Click Deselect to clear the selection.
A checkbox is disabled when that row cannot be included. On invoices, only drafts and past due invoices can be selected. On owner payouts, you can select drafts with money to pay out, and pending payouts you are paying manually. Select all covers the page you are on. Filter the list, or move through the pages, when you need more than that.

Run a bulk action

The bar shows how many rows are selected, and the actions those rows can all take. If the selection is mixed, for example a draft and a past due invoice, the buttons are hidden until every row is the same kind. Choose an action and confirm it. The bar shows Starting bulk action, then how many records are done and how many succeeded or failed. Click X when you have finished. The list refreshes.

Invoices

On Invoices:
  • Finalise finalises every selected draft. Send finalisation email to each customer emails a link to the hosted invoice, and only applies when the collection method is send invoice. A finalised invoice cannot be edited. See Invoices.
  • Delete deletes every selected draft.
Deleted drafts cannot be restored.
  • Send reminders emails a payment link for each past due invoice.
  • Send to recovery enrols invoices that are more than 28 days past due and not already in a recovery case. Invoices for one customer become one case. Recover must be enabled.

Owner payouts

On Payouts, and on the payouts in a payment run:
  • Approve approves every selected draft. Automatic pays from your balance and needs the Balance plan. Manual means you pay the owner, then record it. See Approve a payout.
  • Mark as paid records a pending manual payout. Set Paid at, and choose whether to Send a payout receipt to the owner.
To pay many pending payouts from one bank file, or from your balance in one go, use a payment run.

Arrears

On Arrears, Send to recovery enrols each selected customer’s invoices that are more than 28 days past due. Their oldest invoice has to be older than that. Newer overdue invoices stay on the usual reminders. See Send several at once.
